This policy describes how Lakeshore Marine Group (“we,” “us”) handles information in connection with our internal business CRM (Lakeshore Marine Group CRM) and its optional link to Intuit QuickBooks Online. These tools are used by Lakeshore Marine Group staff to run our boat sales, brokerage, and service business — not as a public consumer app.
Who this applies to
The CRM is used only by authorized Lakeshore Marine Group employees and contractors. Customers and vendors interact with us through normal shop channels (phone, email, text, invoices, estimates). We do not sell CRM or QuickBooks access to the public.
QuickBooks Online data we access
When an administrator connects QuickBooks Online, the CRM may read and write the following kinds of QuickBooks data, solely to keep our books aligned with work done in the CRM:
- Customers — look up or create a QuickBooks customer that matches a CRM contact (name, company, email, phone, billing address).
- Products & services (items) — look up existing QuickBooks items so invoice lines map to the right income accounts (the CRM does not invent a full item catalog in QuickBooks).
- Invoices — create or update QuickBooks invoices from CRM invoices (line descriptions, quantities, amounts, dates, document number).
- Payments — record QuickBooks payments (and unapplied customer payments for deposits) that were taken in the CRM, including card or manual payments.
- Company information — read basic company identity to confirm the connection.
The CRM’s own vendor and price-list records are stored in the CRM database. We do not currently sync QuickBooks Vendor lists through this connection. If that changes, we will update this policy.
Other information we hold in the CRM
Independently of QuickBooks, the CRM stores business records such as contacts, boats, work orders, estimates, invoices, messages, and related files needed to serve our customers. That data is used to operate the dealership and service department.
How we use the data
QuickBooks and CRM data are used only to:
- Prepare and send invoices and record payments;
- Keep accounting records consistent between the shop floor and our books;
- Support sales, brokerage, and service work for our customers.
We do not sell personal or financial data. We do not use QuickBooks data for advertising networks or unrelated third-party marketing.
How data is stored and secured
- CRM data lives in our secured server environment (access limited to authorized staff and system administrators).
- QuickBooks connection secrets (OAuth tokens) are stored on the server and are not exposed in the browser.
- Access to the CRM requires signed-in user accounts with role-based permissions.
- Connections to QuickBooks use Intuit’s OAuth 2.0 over HTTPS.
Sharing
We share data with Intuit/QuickBooks only as needed for the connected features above, and with service providers who host or secure our systems (for example, our cloud host), under obligations to protect it. We may disclose information if required by law or to protect our rights and customers’ safety.
How to disconnect QuickBooks
A CRM administrator can disconnect QuickBooks under Settings → Invoices & integrations → QuickBooks Online → Disconnect. That removes our stored QuickBooks tokens so the CRM stops reading or writing QuickBooks data. You can also revoke the app’s access from your Intuit account connections. Disconnecting does not delete historical invoices or payments already posted in QuickBooks.
Retention
We keep business records as long as needed for operations, tax, warranty, and legal obligations, then delete or archive them according to our internal practices.
